Why Every Sole Proprietor Needs a Profit & Loss Statement

Ask a sole proprietor how their business did last year, and most will answer in terms of bank balance, not profit. That is understandable — nobody is forcing them to prepare a formal Profit & Loss statement the way a company is. But skipping it is one of the more expensive habits we see, and it rarely feels expensive until it actually costs you something.

Bank Balance Is Not Profit

A healthy bank balance can hide a business that is actually losing money on every order, subsidised by one big advance payment that has not been spent yet. A P&L strips that illusion away by matching your actual revenue against your actual costs for the period, so you see the real number, not the comforting one.

You Cannot Price Correctly Without One

If you do not know your true cost per unit, per project or per client — including the time, materials and overhead that never show up as a single line item — you are pricing on guesswork. A P&L, prepared even quarterly, shows you exactly where your margins are thin and where they are healthy.

Loans and Credit Depend on It

Banks and NBFCs do not lend against vibes. When a sole proprietor applies for a business loan or a working capital line, a P&L statement (often for the last two to three years) is standard documentation. Proprietors who only have bank statements to show, instead of organised financials, routinely get smaller loan amounts or face longer approval times.

It Protects You If You Ever Get Audited

If your turnover crosses the tax audit threshold under Section 44AB, or if you are questioned on the profit you have declared under the presumptive taxation scheme, having a clean P&L already prepared turns a stressful process into a formality.

The Simplest Way to Start

You do not need enterprise accounting software to begin. A monthly summary of income received against expenses paid, categorised consistently, is enough to build into a proper P&L at year-end.
